How CBET Differs from Traditional Grading:

In Kenya’s TVET CBET model (CDACC & QAB), you are evaluated against industrial competency standards rather than traditional percentages (A-E):

  • Competent (C): You have demonstrated all required practical performance criteria, knowledge, and underpinning skills for that specific unit.
  • Not Yet Competent (NYC): One or more learning outcomes need further practice and re-assessment. You will be scheduled for targeted remedial practical tasks.
  • Unit Breakdown: Each curriculum module consists of Core Units of Learning (technical specialization), Common Units (e.g., Mathematics, Technical Drawing), and Basic Units (Communication, ICT, Entrepreneurship, Environmental Literacy).
  • ePOE (electronic Portfolio of Evidence): Trainees upload photos, drawings, assignment PDFs, and workshop artifacts directly under each unit. Assessors review and authenticate your portfolio digitally.

Mandatory Exam Card Criteria:

Before the examination system allows you to download and print your official Assessment Card, the automated rule engine validates two prerequisites:

  1. Fee Clearance: You must have paid the required minimum fee threshold (e.g. 70% or 100% depending on the active academic series regulations).
  2. Class & Workshop Attendance: You must have attended at least 75% of all scheduled theory lectures and practical laboratory sessions recorded by your trainers.
  3. How to Download: Log in to your Student Portal → navigate to Requests → Examination Card. If both indicators show green checkmarks, click "Download Official Exam Card".
  4. Physical Printing: Print the card in color or sharp monochrome. It features an anti-fraud cryptographic QR code scanned by chief invigilators at the exam room door.

7 Sequential Clearance Stages:

Digital clearance replaces physical clearance paper sheets. You initiate it in your portal under Clearance:

1. Academic Department (HOD): Completion of course units, project documentation, and industrial attachment logs.
2. Workshops & Labs: Return of tools, safety gear, and laboratory equipment.
3. Library Services: Return of borrowed textbooks, reference journals, with zero outstanding fines.
4. Sports & Dean of Students: Return of uniforms/sports equipment and student discipline review.
5. Hostels & Catering: Room surrender, key return, and furniture inventory inspection.
6. Finance & Accounts: Complete tuition balance reconciliation to exactly zero balance.
7. Registrar / Exam Office: Final audit and release of your official transcript and diploma certificate.

How to Pay Fees via M-Pesa:

  1. Open M-Pesa on your mobile phone → select Lipa na M-Pesa → Paybill.
  2. Enter the Official Institutional Paybill Number (refer to your student invoice or the Fee Paybill Guide on the login page).
  3. Account Number: Enter your exact Admission Number with no spaces (e.g. EEP/2024/001).
  4. Enter your PIN and complete the transaction.
  5. Reconciliation: The CBETSYS automated banking bridge credits your student ledger in real-time. Within minutes, log into your student portal to see the updated balance and download your official PDF receipt.

Student Requests & Support Tickets:

  • Academic Deferrals: If you face medical or financial interruptions, go to Requests → Deferrals, specify the target semester to resume, and attach your supporting documents for HOD approval.
  • Industrial Attachment: Coordinate with the Industrial Liaison Office (ILO) tab to submit your placement company letter, log daily weekly tasks, and notify your visiting assessor.
  • Raising an Online Ticket: If you face missing marks, course registration issues, or ledger discrepancies, navigate to Requests → Helpdesk inside your student portal to submit a tracked support ticket directly to the appropriate officer.
